Clearing House, a not-for-profit at the University of Leeds, provides a central application system for psychology courses. Zoocha redesigned and redeveloped the platform, tailoring user experience for applicants, staff, recruiters, and referees.

The ask

The Clearing House team had two platforms providing this service that needed to be condensed into one, cohesive site.


The platform needed to manage complex application workflows for applicants, recruiters, and referees, ensure high accessibility standards, and deliver a smooth experience from start to finish. Security and performance were a key focus alongside an intuitive content editing process for the Clearing House digital team.

The approach

Our team began a short discovery and alpha phase aimed at targeting the user applicant, and recruiter user experience. User engagement targeted over 100 users of the platform, allowing our Lead UX researcher to make tangible recommendations to the design of the new service.


From there, we collaborated with the Clearing House digital team to deliver branding concepts that would be reflective of the organisation, and conform to modern accessibility standards. This included defining colours, typography and the visual impression of the platform.

Despite our initial expectation that the application pathway could be achieved through leveraging the Webform module, further investigation revealed the requirement for custom development. Each user journey required bespoke development, as each user group needed to have access to interact with the system at unique stages of the application process. This resulted in leveraging the power of Drupal, guaranteeing a smooth user experience and security to each platform user.


Extensive testing was therefore required across each user journey to ensure a performant user experience for each user group. Furthermore, a security audit prior to launch ensured strict standards of security in development and testing had been adhered to throughout.


The project was delivered collaboratively, with close communication between Zoocha and the Clearing House digital team from the start, working transparently to solve challenges as they arose.

The results

The new Clearing House platform launched in September 2022, delivering a smooth accessible experience for all user groups. Built with performance and security at its core, the site can handle complex workflows with ease and give each audience the tools and access they need at the right point of the process.

The tailored workflows have made life easier for users, reduced admin for the Clearing House team, and created a more efficient application journey from start to finish. Content management is now more straightforward too, enabling the digital team to make updates quickly and confidently without relying on external support.

A big part of this success comes down to how we worked together. From day one we kept communication open, set clear acceptance criteria, and tackled challenges as a team. This collaborative approach meant we could adapt when needed, keeping everything on track, and deliver a platform that genuinely works for everyone.
